Who to check, and how to reach you. HRMS’s HR desk is told the moment you send it.
You send this form
Only from your company's own email domain — a free or temporary inbox is refused here, before HR sees it. You get a reference and a passcode on screen straight away, and an acknowledgement by email; neither says whether we hold a record.
HRMS's HR team reviews it
A named person checks your consent letter and the number against their own records. A request nobody answers closes itself after 30 days, and you may ask again.
You read the answer
We email you a private link when they decide. It opens for 7 days and up to 10 times; the status page will show you the same answer if the email goes astray.
The Aadhaar number is kept as a one-way fingerprint plus its last four digits. The number itself is never written to the database.
This page answers the same way whether or not we hold a record. Only HR's decision says anything about a person.
Anything you attach is stored in this company's own private document store and is read only by whoever answers the request.
Nobody at this company is shown the number itself either. The request that reaches their desk carries the last four digits and the name you give.
Your request carries a reference from the moment you send it, so you can quote it in an email or on the phone.
Every request, decision and view is logged against that reference on both sides.
